Client knowledge and portal

In , everything your agency knows about each client lives in one place: profile, people, campaigns, documents, notes and meetings. It answers plain questions with the source cited and shares only what you choose with the client, through a branded portal.

Who uses it
Account and strategy teams, and anyone who joins a client mid-engagement; clients use the portal.
What it replaces
A wiki nobody updates, folders of decks and whoever has been at the agency the longest.

How a team uses it

  1. 1Set up the clientPick the client from your agency's shared client list, then add profile facts, brands and competitors, people on both sides and campaigns.
  2. 2Bring in what you knowUpload documents, import or watch a Google Drive folder, write notes, record meetings or bring in briefs, projects and campaign results from the rest of the suite.
  3. 3Ask and get sourcesAsk a question about one client or across every client you can see, and every claim in the answer names where it came from.
  4. 4Share on purposeEverything starts internal; making an item visible to the client is a confirmed step, and every change is logged.
  5. 5Open the client portalInvite client contacts to a portal in your branding, where they see what you shared, upload material and ask questions.

The client profile

One record per client, with every fact traced to its source.

Profile with fact states

Each fact is a card showing its source and whether it is proposed, confirmed or needs checking. A weekly re-check pauses any fact whose source page changed until a person confirms it.

Brands and competitors

The client's own brands, the competitors it watches and its industry are kept once and read by every product, so research, briefs and reports start from the same list.

Draft profile from documents

AI suggests values for empty profile fields from the client's documents, each with a citation. A person accepts, edits or dismisses every suggestion, and every change is kept in a history.

Brand voice fingerprint

AI drafts how the client sounds from their own documents: tone, words they use and avoid and a sample sentence. You edit it and propose it to the client's brand kit for review.

People and org map

Contacts on both sides, drawn as an org map of who reports to whom, with portal access managed in its own tab.

Your team on the account

See who at your agency knows the client: people who list it among the brands they manage, plus its account manager, with title, skills and years on the account.

Campaign timeline

The client's campaigns on a timeline with objectives and results. Internal notes on a campaign never reach the client.

Vendor grades

Grade each vendor per project and keep scorecards with contacts, capabilities and grade history, across every client. Always internal.

Knowledge library

Documents, notes and meetings, searchable in English and Spanish.

Documents and data files

Upload PDF, Word, text, Markdown, CSV and JSON files, or import from Google Drive. Answers can cite a document down to the line or row.

Watched Google Drive folders

Paste a Drive folder shared by link and new or changed files are copied in every hour, with sync now, pause and stop. Files removed in Drive are marked, never deleted.

Notes with files and voice

Notes can hold images, files and voice clips. Answers can draw on them, but notes always stay internal.

Meeting capture

Upload audio or record live with a consent switch. AI writes a transcript with named speakers, a summary and action items, and answers can cite the exact moment. Audio is deleted 30 days after transcription.

Collections

Named sets of documents and notes, picked by hand or filled by a rule, so you can narrow a question or a research report to one collection.

Sources overview

See what the client's knowledge is made of, with the newest and oldest dates, so stale material is easy to spot.

Answers with sources

Ask with citations

Ask a plain question and every claim cites a profile field, person, campaign, document, note or meeting. If the answer isn't there, it says so instead of guessing.

Conversations and scope

Answers are kept as conversations, can be narrowed to a campaign, dates, a kind of material or a collection, and say what was searched.

Ask across clients

One question over every client you can see, such as which clients have run a loyalty campaign. Each answer names its client; notes, meetings and vendor grades stay inside each client.

Insights

Budget trends, data gaps and vendor risk are calculated from your records; AI adds campaign performance notes and a suggested next action, each with its evidence.

Assemble a cited brief

AI reads the client's shared documents and insights and assembles a cited brief, one step at a time, with you approving each step.

Sharing with the client

Nothing reaches a client until a person shares it.

Client portalClient sees

A portal in your agency's or the client's branding with an overview, contacts, campaigns, uploads and questions. Under a white label, the vendor's name never appears.

Preview and shared history

Preview exactly what the client sees, and review everything shared with them along with when it was shared and by whom.

Brand voice in the portalClient sees

The portal overview shows how the brand writes: tone, words used and avoided and an example, taken from the accepted brand kit only.

Brand profile PDFClient sees

Download the brand profile as a client version, built only from shared content, or an internal version watermarked as internal.

What your client sees

Client portal
Shared profile facts, contacts and campaigns, an upload area for new material and a question box answered only from what you shared, in your branding.
Portal questions
The portal tells the client that your team can see their questions; anything it couldn't answer comes back to you as a finding.
Brand profile PDF
The client version of the brand profile, built only from shared content.
Portal invitation email
Contacts are invited by email from the portal settings.

AI and people

Where AI helps

  • Answering questions with a source on every claim
  • Suggesting profile facts from documents
  • Drafting the client's brand voice
  • Transcribing and summarising meetings
  • Turning campaign results into learnings
  • Assembling a cited brief

What people decide

People accept every suggested fact, confirm every item shared with the client and approve each step of a brief; AI never shares anything on its own.

Connects with

  • Hub

Clients come from your agency's shared client list, and brands, competitors, industry and brand voice live on the client's shared record and brand kit.

  • Shared facts prefill brief fields with their source named, and approved briefs and meeting transcripts can come back into the client's knowledge.

  • Project and proposal drafts add the client's shared history, and projects or documents can be copied in.

  • A campaign's results become an internal learning that answers can cite.

  • Research findings and concepts can be saved to the client, and research can be narrowed to one collection of documents.

  • A locked creative direction is saved to the client as an insight.

  • Shows who on your team knows the client.

  • Shows the software used for this client, with costs visible only to people allowed to see money.
